AI Employees are the heart of the platform. They’re your customizable AI assistants that can answer questions, help with tasks, and even interact with your customers. Think of them as team members you can train to know your business inside and out.

What Is an AI Employee?

An AI employee is a customized AI assistant with:
  • A name and role (like “Sarah, Customer Support Lead”)
  • A personality (friendly, professional, casual, etc.)
  • Knowledge (from documents you upload)
  • Special instructions (how to handle certain situations)
You can have multiple AI employees, each specialized for different tasks.

Creating Your First AI Employee

  1. Select your company from the sidebar
  2. Click Employees
  3. Click Create Employee (or the + button)
  4. Fill in the details:
    • Name: What you’ll call this AI (e.g., “Alex”)
    • Title: Their role (e.g., “Sales Assistant”)
    • Photo: Upload an avatar or use the default
    • Instructions: How the AI should behave (more on this below)
  5. Click Save
That’s it! Your AI employee is ready to chat.

Writing Good Instructions

The instructions (also called “prompt” or “system prompt”) tell your AI employee how to behave. This is the most important part of setup.

What to Include

  1. Role description: Who is this AI?
  2. Tone and style: How should they communicate?
  3. Knowledge boundaries: What should they NOT answer?
  4. Special instructions: Any specific behaviors

Adding a Profile Photo

A friendly face makes your AI more approachable:
  1. Click on an existing employee (or create a new one)
  2. Click on the avatar/photo area
  3. Upload an image from your computer
  4. The photo is saved automatically
Tips:
  • Use a professional-looking photo
  • Square images work best
  • You can use AI-generated avatars if you prefer

Editing an AI Employee

To change an existing employee:
  1. Go to Employees
  2. Find the employee you want to edit
  3. Click on their card or the three-dot menu (⋮)
  4. Select Edit
  5. Make your changes
  6. Click Save

Organizing with Tags and Departments

Adding Tags

Tags help you categorize employees:
  1. Edit an employee
  2. Find the Tags field
  3. Type a tag name and press Enter
  4. Add as many tags as you need
  5. Save
Use tags like: “support”, “sales”, “technical”, “billing”, etc.

Assigning to Departments

If your company has departments set up:
  1. Edit an employee
  2. Select a Department from the dropdown
  3. Save
Employees in specific departments may only be accessible to team members in those departments.

Reordering Employees

Change the order employees appear in the list:
  1. Go to Employees
  2. Hover over an employee card
  3. Drag using the handle on the left
  4. Drop in the new position
The new order is saved automatically.

Using the Employee Marketplace

Don’t want to start from scratch? Browse pre-made employees:
  1. Go to Employees
  2. Click Marketplace or Browse Templates
  3. Browse available employee templates
  4. Click Install on one you like
  5. It’s added to your company
You can then customize the installed employee to fit your needs.

Deleting an AI Employee

  1. Go to Employees
  2. Click the three-dot menu (⋮) on the employee
  3. Select Delete
  4. Confirm the deletion
Note: Deleting an employee removes their configuration but doesn’t delete conversations you’ve had with them.

Tips for Better AI Employees

1. Start Simple, Then Refine

Don’t try to write perfect instructions on day one. Start with basics, test through conversation, and improve over time.

2. Test Thoroughly

After creating an employee, have several conversations to test:
  • Does it respond the way you expect?
  • Does it handle edge cases well?
  • Is the tone appropriate?

In your instructions, include examples of good responses:
