The Inbox feature lets you connect and manage email accounts for sending sequences and campaigns. You can add multiple inboxes, set up custom domains, and warm up new accounts to improve deliverability.

Why Do You Need an Inbox?

To send emails through sequences, you need to connect an email account. The Inbox feature:
  • Connects your email accounts
  • Manages sending limits
  • Tracks email performance
  • Warms up new accounts for better deliverability

Connecting Your First Inbox

Step 1: Add an Inbox

  1. Select your company from the sidebar
  2. Click Inbox
  3. Click Add Inbox (or the + button)
  4. Choose your email provider:
    • Gmail/Google Workspace
    • Outlook/Microsoft 365
    • Other (SMTP/IMAP)

Step 2: Authorize Access

For Gmail or Outlook:
  1. Click to connect
  2. Sign in to your email account
  3. Grant permission for the platform to send on your behalf
  4. You’re connected!
For SMTP/IMAP:
  1. Enter your email address
  2. Enter SMTP server details (your email provider can give you these)
  3. Enter your password or app password
  4. Test the connection
  5. Save

Step 3: Configure Settings

After connecting:
  • Set your daily sending limit (start low, increase over time)
  • Add your email signature
  • Configure reply-to address if different

Understanding Your Inbox Dashboard

When you view your inboxes, you’ll see:

Status Indicators

  • Green checkmark: Connected and working
  • Yellow warning: Needs attention
  • Red error: Disconnected or problem

Email Warming

New email accounts or domains need to build reputation before sending at scale. Email warming sends small amounts of email gradually to establish trust.

Why Warm Up?

If you send too many emails from a new account:
  • Emails may go to spam
  • Your account could get flagged
  • Deliverability suffers
Warming prevents these issues.

Enabling Warming

  1. Click on your inbox
  2. Find Warming settings
  3. Turn warming On
  4. Configure:
    • Daily limit: Start with 5-10 emails/day
    • Ramp rate: How quickly to increase
  5. Save

How Warming Works

  1. The system sends emails to other warming accounts
  2. Those accounts open, read, and sometimes reply
  3. This builds positive engagement signals
  4. Your sender reputation improves
  5. Gradually increase your limits

Setting Up a Custom Domain

Using your own domain (you@yourcompany.com) looks more professional and builds your brand reputation.

Step 1: Add Your Domain

  1. Click Domains in the Inbox section
  2. Click Add Domain
  3. Enter your domain name (e.g., yourcompany.com)
  4. Click Add

Step 2: Configure DNS Records

You’ll need to add DNS records to verify ownership and improve deliverability: SPF Record: Authorizes the platform to send on your behalf
DKIM Record: Adds a digital signature to your emails
DMARC Record: Tells receiving servers how to handle failed authentication

Step 3: Add Records to Your DNS

  1. Log into your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.)
  2. Find DNS settings
  3. Add each record as specified
  4. Save changes

Step 4: Verify

  1. Return to the platform
  2. Click Verify Domain
  3. Wait for verification (can take up to 48 hours, usually faster)
  4. Green checkmark = verified!

Viewing and Managing Messages

Checking Your Inbox

  1. Click on an inbox to view messages
  2. Use filters to see:
    • Received: Incoming emails
    • Sent: Outgoing emails
    • Bounced: Failed deliveries
    • Replies: Responses to your sequences

Reading a Message

  1. Click on any message in the list
  2. The full content appears in a preview
  3. See the full conversation thread

Composing a New Email

  1. Click Compose or the compose button
  2. Enter the recipient
  3. Write your subject and message
  4. Click Send

Replying to Messages

  1. Open a received message
  2. Click Reply
  3. Write your response
  4. Click Send

Managing Multiple Inboxes

Always warm up new inboxes for 2-4 weeks before campaigns.

2. Maintain Good Hygiene

  • Remove bounced addresses immediately
  • Clean inactive contacts regularly
  • Honor unsubscribe requests

  • Avoid spam trigger words
  • Don’t use all caps or excessive punctuation
  • Include a clear unsubscribe option
  • Balance text and images

4. Monitor Your Metrics
